NTS Data Protection Policy

Effective August 18, 2010

National Travel Service, Inc. (NTS) has travel agency operations in many countries around the world. NTS’s focus is to provide business travel services to employees of businesses with whom NTS signs a corporate travel services agreement. In doing so, NTS receives individual data from employees.

Why the laws apply and why consent is needed

Data protection laws apply because the data can identify an individual person. The purpose is to protect individual rights by keeping personal data secure and regulating its processing so it is used only for its intended purpose.

NTS uses this Data Protection Statement to request traveler consent. Our policy considers U.S. privacy laws and often exceeds them. Our goal is to standardize global data handling within NTS.

Information We Store

The travel data we store may include:

  • Name, address, email address
  • Credit card information
  • Travel destinations and schedules
  • Seating and accommodation preferences
  • Meal preferences
  • Passport and next of kin details

NTS creates a Traveler Profile and a Passenger Name Record (PNR) for reservations. Reports may also be generated to analyze travel trends.

What We Do With the Information

  • Reservations: Data shared with travel suppliers and reservation systems
  • Data Consolidation: Reports for corporate clients
  • Policy Compliance: Monitoring travel policy adherence
  • Payment Processing: Shared with third parties
  • Global Databases: Access by agents worldwide
  • Service Improvements: Providing relevant travel information

The Intelligent Traveler mobile app may use third-party chat software and share name/email if opted in.

NTS as Data Controller or Processor

  1. NTS as Data Controller: Collects traveler consent
  2. Client as Data Controller: Client manages consent; NTS acts as processor

Measures We Are Taking

  • Data Protection Statement: Signed by travelers
  • Third-Party Transfers: Agreements required for data protection compliance
  • Security: Technical and organizational safeguards
  • Data Retention: Data kept only as long as legally required

Infrequent Travelers

Occasional travelers (“one-offs”) follow the same process, though exceptions exist (e.g., group travel). Clients providing traveler data must ensure legal compliance and traveler awareness.
